Coras Privacy Policy

 Summary of Recent Changes:

 

We recently changed our Privacy Policy to, among other things, reflect compliance with our obligations under the European Union (“EU”) General Data Protection Regulation (“GDPR”), which is a new set of rules that give EU citizens more control over their personal data in digital platforms. GDPR requires companies that collect and process personal information about EU citizens to implement appropriate measures to safeguard that data. Coras is committed to protecting the privacy of our customers.  The key changes made in accordance with GDPR are:

 

  • Transparency: We’ve provided additional clarity regarding the information we collect from users and visitors and how we process this information. We’ve also explained the choices and control individuals have over their information.

 

  • Data Control: We’ve described how individuals can (i) access, correct or delete their personal data from our systems; and (ii) provide or withdraw consent, as appropriate.

This PRIVACY POLICY (this “Policy”) discloses the privacy practices for any websites, products or services owned or controlled by CorasCloud, Inc. that link to this Policy, including, but not limited to, Coras, CorasNow, CorasManage and CorasWorks (collectively, “Coras”).  This Policy explains our online information practices applicable to the websites available under the various Coras website domains (collectively, the “site” or “sites”) and all Coras products and services made available to you on, through or in association with the sites or any Coras application (collectively, the “Products”).  Coras understands that as visitors, potential customers or users, you care about how your information is collected, used, processed, transferred, stored, and shared.  This Privacy Policy describes the lengths to which Coras goes to protect your privacy, including the ways in which we may contact you.  

 

This Policy is incorporated into, and forms part of, our Terms of Use, which outline the terms and conditions you agree to when accessing and using our sites.  This Policy also provides your data protection rights, including a right to object to some of Coras’ processing.  This Policy does not apply to information collected by any third party, including through any third-party application or content (including advertising) that links to or is accessible from our sites.  This Policy applies with respect to your use of any Coras site or Product, regardless of (a) your method of access (e.g., computer browser, application), or (b) whether you are a user or a visitor.  

 

We may revise this Policy at any time by updating this posting. Use of the sites or Products after such revisions are posted will signify your agreement to the revised Policy.  You should visit this page periodically to review this Policy and any revisions.

 

Personal Data” means information you disclose to us during your access and use of our sites, such as your name, IP address, geographic location data, cookies, or any other online identifier that can be linked back to you with undue effort.  We will only collect, use and disclose your Personal Data in accordance with this Policy. 

 

User Information” means information obtained by us if you (a) order our Products using a site, (b) use our Products from a site, (c) fill out a survey, or (d) otherwise contact us via an order, contact or registration form, or otherwise.  Such information may include things such as your name, username, password, email address, business information, billing information, and general information about your interest in, and use of, the sites. 

 

  1. WHAT WE COLLECT AND HOW WE USE IT

 

We do not sell, share, or rent any content, data, or other such materials you upload or otherwise actively provide to us through the sites, we promise. 

 

A. Website:

 

When you visit Coras’ sites, you are not required to actively provide any information, but the analytics software we use may collect some Personal Data. When you contact us via the chat function on the sites, sign up to download or receive information from us, or sign up to receive and use our Products, you are required to provide some Personal Data.

 

B. Product Users

 

We may collect Personal Data and User Information from users of our Products to help us provide, administer, and improve our Products.  To make changes to the permission you give us, please visit your Coras user profile.

 

C. Collected Personal Data 

 

Generally, we may use your Personal Data and User Information for the following purposes:

 

  • Personalizing our sites for (i) improving your browsing experience (we retain data processed for this purpose until your browsing session with us has ended in case, or until such time you no longer have a profile with us, whichever is longer); (ii) managing your Coras account in performance of our agreement (we retain data processed for this purpose until termination or expiration of our agreement); (iii) understanding user preferences for improving our Products (we retain data processed for this purpose for one (1) year after your last log-in to our Products); and (v) contacting you for direct marketing (we retain data processed for this purpose until you withdraw your consent).

 

We may collect information about which website you visited prior to visiting us or which link or campaign you clicked on to get to us for improving our marketing strategy and always with your prior consent (we retain data processed for this purpose for one (1) year after collection).

 

D. Authorized Service Providers

 

Our sites and Products may integrate services provided by third parties, such as vendors, suppliers, and partners. We may share some of your information with these service providers so they can provide their services, including payment processing, hosting services, analyzing data, marketing support, customer and/or user profiling, business development, and customer service, but we do not allow them to share or use any of your Personal Data for any other purpose.

 

To ensure that your Personal Data/User Information is processed, used, stored, and transferred securely and in accordance with EU law, Coras uses service providers that provide sufficient guarantees to implement appropriate technical and organizational measures to protect your information.  

 

Please note, the terms and privacy policies of the service providers we use may apply to you as well, in particular: Google Analytics, Google AdWords and HubSpot. Your acceptance of applicable service provider terms is required to access our sites and Products.  We strongly recommend that you read their privacy policies and terms and conditions of use to understand how they collect, use, and share information.  Their standards may differ from ours.

 

Coras does not endorse such service providers unless expressly stated otherwise.  You may opt out of some of this sharing as set out in Section 11 below.

 

Disclaimer: This overview of service providers is a snapshot. Coras strives to keep this list as up-to-date as reasonably possible.  However, it is possible that not all current service providers are always listed. 

 

E. External Websites

 

Our sites and Products may contain links to other websites run by third parties. Our provision of these links does not amount to our endorsement of these other websites, nor their content, owners, or practices.  Coras does not control or assume responsibility for the content or practices of these other websites or third parties. This Policy does not apply to those other websites, which are governed by their own terms and policies.

 

F. Customer Testimonials & Quotes 

 

We may publish customer testimonials and quotes on our sites or in other marketing materials, which may contain some Personal Data.  Coras obtains consent from each customer and the featured individuals prior to publication.  This consent may be withdrawn at any time.  If you are featured in a customer testimonial or quote and wish to withdraw your consent, please send an email with your request to support@coras.com.

 

  1. HANDLING OF PAYMENTS/PROTECTION OF PAYMENT INFORMATION

 

Coras does not store any credit card information; we have partnered with Braintree Payment Solutions LLC to collect payments.  Payment information is stored on Braintree’s secure site and not available to us, other than name, email and referential transaction information. If we have issues processing an order, this information will be used to contact you.  Your information collected via Braintree’s secure online payment system is governed by their Policy.   1. SHARING OF INFORMATION WHILE USING CORAS

 

Account Holders.  Depending on the configuration and features selected by the user, we may share your information with the account holder or other users associated with your account.  For example, an employer or task leader may have access to certain information about your use of the Coras Products.   

 

Other Users with Whom You Interact While Using Coras.  Coras is designed for users to post and share content, collaborate, and communicate with one another. Your information will be shared with other users you chose to interact with while using the Coras Products.  If you are accessing Coras’ Products because you were invited by a Coras user, please remember that your information is subject to this Policy and to the user’s own privacy policies and practices.  Please review the privacy policy of the Coras user(s) with whom you interact on the Products before providing any Personal Data or User Information.   

 

  1. ADDITIONAL USERS

 

When you add additional users to your account we send them an invitation to join our site and request such users to provide us with certain additional contact information including such users’ email addresses. When you use such a service, you represent and warrant to us that you have an existing business or personal relationship with such additional user sufficient to avoid liability under any law that applies to unsolicited email. You will be deemed to be the sender of any such email (or other electronic communication) and we will be deemed to merely be a service provider facilitating your sending of the email (or other electronic communication).

 

  1. COOKIES

 

We use cookies to better display our sites, to save you time, to provide better technical support, and to anonymously track Product usage.  For example, cookies help us to: (a) keep track of whether you are signed in or have previously signed in; (b) remember your settings on the pages you visit; (c) display personalized content and targeted advertisements on our sites as well as on other websites and services; (d) perform analytics, and measure traffic and usage trends, and better understand the demographics of our users; (e) diagnose and fix technology problems; and (f) otherwise plan for, and enhance, our sites.

 

Most or all browsers permit you to disable or reject certain cookies (which will prevent certain tracking).  However, if you set the browser you use to reject cookies or otherwise disable them, you may not be able to use any or all the functionality at one or more of the sites or it may take additional time to utilize such functionality.  If you wish to use any such functionality that requires the use of cookies at any of our sites, then you must accept the use of cookies for that site, and thereby, give Coras your permission to link your data as discussed above.

 

  1. RETENTION

 

We retain Personal Data/User Information for as long as we reasonably consider it to be necessary for the purposes for which it was collected, after which time we will securely delete the information.  You can also request deletion of your Personal Data/User Information by contacting support@coras.com.

 

  1. SECURITY

 

Coras maintains strong data protection and privacy controls to protect your personally identifiable information, including use of firewalls with intrusion detection, 24/7 monitoring, physical security through our hosting providers, encryption via SSL when using our SSL-based services, payment processing providers, and processing and authentication standards for password and username.

 

  1. USER INFORMATION

 

Any user of our sites, may view and access their profile and make changes to the personal information stored there.  You can also delete or change your personal information in our records by contacting us at support@coras.com; we respond to such requests within one (1) week.

 

Any visitor that seeks to access, correct or delete data can do so by submitting a request via email at support@coras.com.  Coras will process this request within 30 days.

 

Coras will not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect. In such instances, we will inform the visitor about the legal obligations that prevent us from fulfilling the request. 

 

We will maintain an audit history of any requests to access, correct or delete personal information to maintain a record of compliance with regulatory requirements.

 

  1. INFORMATION FROM MINORS

 

It is Coras’ policy to refrain from knowingly collecting or maintaining personally identifiable information relating to any person under the age of 18.  If you are under the age of 18 and believe you have already provided personally identifiable information through the site, please have your parent or guardian contact us immediately at support@coras.com so that we can remove such information from our files.

 

  1. REQUIRED DISCLOSURE; EXCEPTIONS

 

We reserve the right to use or disclose personally identifiable information if we are required to do so by any applicable law or if we deem it advisable and lawful in the course of (a) performing contractual obligations, (b) assisting law enforcement activities, (c) investigating and resolving disputes between users; and (d) protecting our site(s) or other property, including, investigating, preventing or taking action with respect to illegal activities, situations involving the potential safety of any person, violations of Coras’ Terms of Use, or as otherwise required by law.  We reserve the right to use and disclose any information that you provide to us if we deem it advisable in the prosecution or defense of any litigation involving your use of any site.

 

We may transfer the data we control, including Personal Data/User Information, in the event of a company reorganization, merger, or sale.  Any third party to which we transfer or sell our assets will have the right to continue to use the Personal Data/User Information that you provide to us in the manner set out in this Policy and then in accordance with the terms of their privacy policy.

 

  1. TO WITHDRAW CONSENT FOR DIRECT MARKETING &/OR PROFILING

 

Users who provide information to Coras may receive email announcements or advertisements, updates, Product announcements, administrative messages, or other information about one (1) or more of the sites and/or our Products.  Registered users may also receive notifications or other information about Products, and deals we think may be of interest to such registered users.  

 

You may at any time withdraw your consent for direct marketing communications and/or related profiling at any time by clicking the “unsubscribe” link located on the bottom of our emails, contacting us by email at support@coras.com, or contacting us by postal mail at the address listed below for Legal.  Users can also withdraw consent by adjusting their profile settings in the Products.  

 

Please note that our customers/Users cannot opt out of receiving Product and transactional emails related to their Coras account.

 

  1. GDPR

 

Coras is committed to protecting our customer’s data in compliance with GDPR.  Under GDPR, EU citizens have the right to request to see, receive, and delete their personal data.  In Coras, it’s easy for customers to access, modify and delete their data.  Coras supports full data export for all information stored in their workspace. Workspace admins can update settings, billing information, and manage users. Non-admin users can update their name, email address, and customize notifications.  Coras will continue to invest in privacy and security procedures to ensure that our customers are protected.

 

Coras is committed to comply with EU data protection regulation, including GDPR, and provides its EU users with several important assurances, including:

 

  • Coras will keep your Personal Data within Coras and our authorized service providers, except where disclosure is required by law.
  • Some of our authorized service providers may need to transfer personal data overseas. Coras always ensures that your Personal Data remains protected and secure when being transferred.
  • Coras will process your Personal Data only in accordance with legitimate purpose, g., to provide and improve our services. Coras follows your instructions regarding storage and processing of your Personal Data.  Importantly, the consent given by you to be provided with information about Coras Products can be withdrawn at any time.
  • Coras users have the “right to be forgotten,” which means the right to require that Coras erases Personal Data about you in certain conditions, including if the Personal Data is no longer necessary for the original purpose of the processing or if the data subject withdraws consent for the processing.
  • You have the right, in certain circumstances, to receive the Personal Data that you have provided to Coras in a structured, commonly used and machine-readable format.
  • Coras has and will maintain technical and organizational measures to ensure security of your Personal Data.
  • Coras will notify you of a security incident without undue delay after becoming aware of the security incident.

We appreciate your trust in providing us your Personal Data and User Information; we are striving to use commercially acceptable means of protecting it. Nevertheless, remember that no method of transmission over the internet, or method of electronic storage, is 100% secure and reliable, and we cannot guarantee its absolute security, so you must generally practice safe browsing on the web.  If you have reason to believe that your interaction with us is no longer secure (for example, if you feel that the security of any account you might have with us has been compromised), please immediately notify us at coras@support.com.
